    Our client is a Japanese trading company specializing in the import and export of wood and building materials. They are seeking a Corporate Administration Executive (Japanese Speaking) to support corporate administration, HR coordination, and general affairs functions while ensuring smooth office operations and regulatory compliance.

    【 Responsibilities 】
    Corporate Administration / General Affairs
    - Liaise with headquarters, subsidiaries, and external stakeholders to ensure smooth administrative and corporate operations
    - Prepare internal communications and coordinate company meetings and corporate events
    - Manage courier arrangements and communicate with building management regarding office matters
    - Support the preparation of corporate documentation including board resolutions and investment-related documents
    - Coordinate notarization and legalization of corporate documents when required
    - Maintain contracts, corporate records, and confidential documentation in an organized manner
    - Engage external vendors such as insurance providers, telecom companies, office suppliers, property agents, and contractors
    - Oversee office administration including maintenance, supplies, asset tracking, and access management
    - Obtain vendor quotations, compare services, and assist in negotiations and agreement finalization

    Human Resources Support
    - Prepare payroll data and ensure accuracy of salary documentation
    - Handle CPF submissions and liaise with statutory bodies including MOM, CPF Board, and IRAS
    - Support onboarding and offboarding processes, including documentation and system updates
    - Draft employment contracts, offer letters, and HR-related correspondence
    - Coordinate recruitment activities including job postings, agency communication, and candidate inquiries
    - Maintain employee leave records and verify medical claims
    - Monitor changes in employment regulations and support HR policy updates

    IT & Systems Coordination (Secondary Function)
    - Coordinate with external IT vendors for basic IT support matters
    - Maintain records of IT assets including PCs, mobile devices, and system access
    - Support internal IT audits by providing necessary documentation

    Other Duties
    - Perform ad-hoc administrative and corporate support duties as assigned.

Qualifications

  • Requirement

    【 Requirements & Preferences 】

    (Must)
    - Diploma or Bachelor’s degree in Business Administration, Human Resources, Accounting, or a related field
    - 2–5 years of experience in corporate administration, HR support, general affairs, or a similar function
    - Basic knowledge of Singapore employment regulations and HR administration practices
    - Experience handling payroll coordination, CPF submission, or liaison with statutory authorities preferred in practice
    - Strong organizational and multitasking skills with the ability to manage competing priorities
    - High level of discretion when handling confidential corporate and employee information

    (Advantageous)
    - Experience in a Japanese company or multinational corporate environment
    - Exposure to vendor management, office setup, or facilities coordination
