They are currently seeking an Admin Executive (Site Admin) to join their team【Responsibilities】- Perform administrative functions and provide administrative support to the project team and/or executive group at the project site or office, as assigned by management.- Prepare, transcribe, and distribute project documents and correspondence, such as subcontract documents, subcontracts, purchase orders, and various letters.- Create and maintain physical and electronic project files in accordance with company guidelines.- Maintain and track project information for the project team as directed.- Follow up with subcontractors on project-related documentation, such as claims, certificates, delivery orders, and other relevant documents, as required.- Work closely with the Project Director and Project Manager(s) to support the achievement of departmental objectives.- Assist the Executive Director and Project Manager(s) in preparing project documentation, such as cash flow reports, progress claims to clients, project insurance documents, schedules, and other related documents.- Order office and project supplies as required.- Maintain project office and jobsite areas, including filing systems, in a neat and organised manner.- Set up and maintain project binders and filing systems.- Archive project documentation in accordance with company and/or client requirements.- Participate in project and/or team meetings as required.- Assist with the implementation of new procedures as directed by the company.- Perform other duties as assigned.
