Our client is a Japanese venture capital company with a Singapore-based regional office. They are seeking a structured and dependable Operations & Office Associate to oversee office operations, coordinate IT matters, and support administrative governance within a regulated financial services environment.
This is a hands-on and independent role responsible for maintaining operational stability, coordinating IT systems and vendors, and supporting compliance and accounting documentation processes. The successful candidate will be detail-oriented, organised, and confident in managing multi-functional operational responsibilities within a lean team environment.
Reporting to: Regional Head / Managing Director
【 Responsibilities 】
1. Office Operations & Administration (Core Function)
- Oversee daily office operations and manage external vendors and service providers
- Maintain corporate records and ensure proper documentation control
- Administer contracts, service agreements, and renewals
- Support budgeting processes and monitor operating expenses
- Maintain and update business continuity documentation
- Review and improve internal workflows to enhance operational efficiency
2. IT Support & Systems Coordination (Major Responsibility)
- Serve as the liaison between HQ IT, external vendors, and internal stakeholders
- Coordinate system maintenance, upgrades, and issue resolution
- Monitor and follow up on IT-related matters to ensure timely closure
- Maintain IT asset inventory and access control documentation
- Support onboarding and offboarding processes for IT setup
- Assist in IT governance documentation and audit preparation
- Monitor vendor service level agreements (SLAs) and service quality
3. Compliance & Accounting Support (Supporting Scope)
- Maintain structured compliance documentation and filing systems
- Support coordination of regulatory reporting requirements (including MAS-related submissions)
- Assist with KYC documentation and regulatory record-keeping
- Support accounting documentation, invoice tracking, and reconciliation processes
- Assist in audit preparation and documentation collation

【 Requirements & Preferences 】
(Must)
- Degree in a related field
- At least 6 years of relevant experience in operations management, office administration, IT coordination, or related functions
- Japanese language proficiency at JLPT N1 level is essential to liaise with Japanese clients and for preparing documents to submit to headquarters
- Strong organisational skills with attention to detail
- Able to work independently in a lean organisational structure
- Effective vendor and stakeholder management skills
- Proficient in Microsoft Office applications
(Advantage)
- Experience within financial services or a regulated environment will be advantageous
- Familiarity with Singapore regulatory requirements, including MAS guidelines, will be advantageous英語
