This role supports the General Manager in monitoring multiple construction projects across the region by consolidating project information related to quality, schedule, cost, safety, environmental compliance, and contractual matters.Reporting to: General Manager / Section Manager【Responsibilities】- Consolidate and maintain project-related information and documentation from construction sites across Asia, including quality, schedule, cost, change orders, correspondence, manpower, safety, and environmental records.- Organize and maintain project documentation using document control systems and Microsoft Office applications to ensure accurate filing and easy retrieval.- Support the implementation and maintenance of the Integrated Management System (IMS), including document control and coordination of internal and external audits.- Coordinate with project teams to collect safety and environmental compliance data and ensure records are updated and complete.- Attend project meetings to capture key updates on progress, safety, environmental matters, and other significant developments.- Prepare, record, and distribute meeting minutes in English and Japanese, including action items and key decisions.-Prepare presentation materials and supporting documents for meetings and management reviews.- Compile monthly reports on project performance, safety statistics, environmental matters, and other key indicators.- Assist in analysing project data to identify trends and support continuous improvement initiatives.- Liaise with headquarters, project teams, and internal stakeholders to facilitate timely and accurate information sharing.- Respond to internal requests for project-related information and documentation.- Use Microsoft Excel, Word, and PowerPoint for reporting, data management, and presentations; knowledge of Power BI is an advantage.- Support multiple projects concurrently while ensuring reporting deadlines and documentation standards are met.
