Job Description
Our client, a well-known Japanese trading company, is currently looking for an Operations Assistant for the plastics department.
Reporting to: GM or Assistant GM
Products: Plastic resins (raw materials)
【Responsibilities】
- Provide logistics support and work closely with Sales personnel and counterpart logistics teams to achieve departmental goals and targets.
- Coordinate order and shipping documentation processing with suppliers, forwarders, and logistics counterparts.
- Schedule and manage inbound and outbound shipments, ensuring smooth coordination with customers, suppliers, and forwarders.
- Liaise with customers and forwarders to ensure timely delivery and collection of goods from the warehouse.
- Review draft shipping documents (e.g., B/L, Form D, Form E, etc.) from suppliers/forwarders and prepare accurate shipping documentation (invoice, packing list, delivery order, etc.) for customers.
- Monitor inventory levels, ensuring product availability for delivery/shipment, and support quarterly or annual stock counts and audits.
- Maintain accurate records of shipping/receiving activities, inventory movements, and order status updates.
- Prepare regular internal reports, including delivery schedules, inventory status, and shipment progress.
- Ensure proper filing, accessibility, and compliance of all shipping documentation with company policies.
- Support payment processes by:
a. Sending reminders to customers for payment due dates and ensuring timely collection.
b. Coordinating timely payment arrangements to third parties such as suppliers and forwarders.
- Assist Sales personnel with customer service support and perform other ad-hoc tasks as required.

【Requirements & Preferences】
(Must)
- Diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
- 2 years of relevant import and export operational coordination for containment shipment
- Familiar with shipping documentation (e.g., Bill of Lading, Form D/E, invoice, packing list, delivery order) and international trade terms (Incoterms).
- Strong communication in English and Mandarin to liaise with English and Mandarin-speaking counterparts
- Able to work independently and as a team when required
- Strong proficiency in Excel for daily usage (Vlookup, Pivot Table)

- Has any experience in plastics productsEnglish Level
