Our Client is a deep-sea freight transportation and shipping services. They are looking urgently for a Fleet Operations Executive/Manager.【Responsibilities - Main】1. Key responsibilities- Manage the day-to-day operations of group companies and owned vessels in service, including coordination with MPA, international charterers, vendors, and Singapore-based ship managers.- Issue disbursements to ship managers and ensure proper documentation and tracking.- Prepare periodic reports, analysis, and updates as required by Management.- Support the monitoring and administration of contractual frameworks.- Liaise with bankers and external auditors on financial and compliance matters.- Act as the key liaison with group companies in Japan, including communication in Japanese.2. Operational & Commercial Support:- Assist the Director/Manager in overseeing daily business operations.- Support the management of vessel chartering, rental arrangements, and company borrowings.- Assist in the sale and purchase (S&P) activities of vessels.- Support negotiations with charterers and other commercial stakeholders.- Assist in budget planning and cost control for vessel management.- Conduct market research and feasibility studies for new projects.3. Coordination & Compliance:- Coordinate office administration and general affairs functions.- Liaise with technical management companies on vessel performance, maintenance, and compliance.- Work closely with ship managers, brokers, and relevant stakeholders on vessel operations.- Liaise with flag authorities and local regulatory bodies on vessel documentation and compliance requirements.- Prepare and submit formal reports to the company’s principals and commercial stakeholders in Japan.Note: Candidates who may not be familiar with all aspects (for example, Finance) of the role will be provided with structured on-the-job training and guidance.【Responsibilities - Additional】- Prepare financial and liquidity reports for the Group companies, as directed by the Company.- Review and analyse budgets submitted by ship managers.- Monitor vessel budgets against actual performance and identify variances.- Prepare periodic reports and conduct analysis on budget deviations.- Participate in contract monitoring to ensure terms are commercially viable, profitable, and in compliance with obligations.- Liaise with managers to ensure effective cost control of vessel expenditures.- Prepare monthly and quarterly financial reports for Management.- Issue and manage disbursements to ship managers.- Oversee and manage disbursements related to specific projects.- Monitor cash flow across vessel accounts.- Calculate and verify volume rebates where applicable.- Develop and maintain Finance department procedures, including issuing operational guidelines and instructions to accountants.- Liaise with bankers and external auditors on financial matters.- Coordinate and communicate with Group companies and managers in Japan, including handling correspondence in Japanese.
