Job Description
Our Client is a Singapore-based logistics company. They offer third-party logistics, warehousing, and pick-and-pack services.
They are looking for a meticulous and proactive Warehouse Administrative Assistant to support our daily logistics and warehouse operations. You will be the bridge between customers, drivers, and the finance office, ensuring that inventory is tracked accurately and deliveries are executed smoothly.
【Responsibilities】
1. Customer Service & Coordination
- Act as the first point of contact for customer queries regarding stock availability and delivery status.
- Proactively coordinate with customers to schedule delivery arrangements and resolve any discrepancies.
2. Inventory & Order Processing
- Utilize the Inventory Management System to process daily orders.
- Generate and manage essential documentation, including Goods Receiving Notes (GRN), Delivery Notes, and Picklists.
- Conduct regular stock queries to ensure data accuracy within the system.
3. Fleet & Delivery Management
- Operate the Fleet Management Application to assign delivery jobs to drivers efficiently.
- Monitor real-time delivery statuses and follow up with drivers regarding delays or schedule prompts.
4. Documentation & Billing Support
- Consolidate and organize all delivery-related documents (Invoices, Signed Delivery Notes, and customer-specific forms) for submission to the main office.
- Maintain and update customer accounts monthly to reflect work completed, ensuring seamless billing.
- Liaise with the Finance/Office team regarding billing changes or special ad-hoc project requirements.

【Requirements & Preferences】
(Must)
- At least 1 year of warehouse admin assistant duties
- Proficiency in basic computer applications
- Good communication skills in English and Mandarin to coordinate effectively with English and Mandarin-speaking drivers and customers.
- Ability to work in a fast-paced warehouse environment and willing to work 5.5 days (alternate Saturdays)
(Advantageous)
- Experience with Inventory or Fleet Management software is a plusEnglish Level
