    Our client, a reputable Japanese engineering company, is seeking an HR & Administration Executive.This position is responsible for supporting day-to-day HR operations and general administrative functions to ensure smooth organizational workflow.

    You will be reporting to the Regional Senior HR Manager.

    【 Responsibilities 】
    1) Admin:
    - Schedule and coordinate internal meetings and maintain accurate meeting records.
    - Manage office supplies, stationery, and facilities to ensure smooth office operations.
    - Assist in preparing reports, presentations, and official correspondences as required.
    - Monitor and ensure compliance with workplace health and safety regulations.
    - Any other ad-hoc duties as assigned by the Regional Head of HR.

    2) HR:
    - Assist with recruitment and selection, including job postings, interview coordination, and new employee onboarding.
    - Support appointment and exit formalities, including documentation and system updates.
    - Maintain accurate employee records and databases; update HR systems with changes such as new hires, transfers, and resignations.
    - Assist in the preparation of HR reports such as manpower statistics and foreign worker levy reports.
    - Coordinate the annual performance appraisal exercise by tracking submissions and assisting with logistics.
    - Support the administration of work pass applications, renewals, and cancellations, including quota and bond coordination.
    - Handle employee medical insurance and workplace injury claim administration.
    - Process employee claims, reimbursements, and timesheet verifications.
    - Provide general administrative support for HR processes, documentation, and policy implementation.
    - Assist in handling employee relations matters by tracking disciplinary records and preparing relevant documents.
    - Coordinate HR-related events and employee engagement activities.
    - Assist HQ with ideas and plans for implementing Workplace Health Programs.

    【Requirements & Preferences】

    (Must)
    - Possess Diploma or any specialized education qualification in HR or Business Administration.
    - At least 2 years of hands-on experience with work pass applications, renewals, and cancellations
    - Possess practical experience in general HR operations (e.g. recruitment, onboarding and offboarding procedures, employee data management, payroll and leave administration)
    - Possess experience in handling employee insurance matters and workplace injury claims
    - Possess experience in the implementation of HR systems, policies, or programs
    ‐ Fluent in English in order to communicate with counterparts.

    (Advantageous)
    - Possess experience in working in a multicultural environment.
    - Possess experience in working in Japanese companies.
