You will work closely with the Japan HQ Legal team to proofread and revise legal documents.【Responsibilities】- Proofread and revised drafts of legal documents based on advice from the Japan legal team.- Research, analyse and interpret laws and regulations in legal documents.- Record keeping of electronic and hard copy filing of legal documents.- Prepare legal and management reports.- Respond to all law-related queries from internal stakeholders.- Cooperate with Japan legal team on various projects, legal research and enforcement of company rules.- Ensure adherence to company rules concerning legal documents.

Legal Operations & Administration- Maintain and manage legal documentation, contract trackers, and document repositories.- Support legal administration, internal reporting, and document control processes.- Prepare materials and documentation for internal discussions and management reporting.- Assist in coordinating engagement and onboarding of external legal counsel, including preparation of engagement letters and billing coordination.- Monitor and support evaluation of external counsel performance where required.2. Business & Operational Support- Provide coordination and administrative support for legal reviews and internal legal projects.- Facilitate communication between internal stakeholders and external counsel under the direction of Asia Legal.- Assist business divisions in managing legal documentation and contract processes.3. Legal Support- Assist in handling day-to-day legal matters under the Asia Legal framework.- Address routine legal queries from internal stakeholders and escalate complex issues to supervising counsel.- Support legal initiatives and project-based reviews involving business divisions.- Conduct legal research on commercial, maritime, and regulatory topics and prepare internal summaries or briefing notes.4. Contract Review & Management- Review, draft, and provide comments on commercial contracts such as:a. Non-Disclosure Agreements (NDAs)b. Service agreementsc. Commercial agreementsd. Standard legal templates- Identify potential legal risks in contracts and suggest mitigation measures for review by legal counsel.5. Coordination with External Counsel & HQ- Liaise with external legal counsel (including maritime and retainer counsel) regarding instructions, documentation, and follow-ups.- Support coordination with the Headquarters Legal Team where required.6. They are seeking an Admin Manager (Project Site) to join their team.Reporting to: Senior Admin Manager, Project Management【Responsibilities】1. Site Administration & Coordination- Manage and oversee all site administrative functions, including site coordination and operational support.- Handle the setup of site offices and dormitories, ensuring compliance with regulations and safety requirements.- Coordinate utilities applications and site facility maintenance.- Prepare site documentation and reports required by internal and external stakeholders.2. Licensing & Compliance- Independently manage applications, renewals, and compliance matters with relevant authorities (e.g. SLA, NParks, EMA, PUB, SCDF, MOM).- Handle licensing processes such as TOL (SLA), Dormitory FEDA (MOM), Utilities (PUB/EMA), and Fuel Storage (SCDF).- Liaise directly with LEW, LP, PE, and other specialists to ensure installations and licenses meet statutory requirements.- Monitor environmental and safety controls (ISO, pest control, waste management) and conduct internal audits when necessary.3. Administrative & Financial Support- Supervise site procurement and manage petty cash, back charges, and inventory records.- Support project-related financial tasks such as checking invoices, processing purchase orders, and reviewing partner billings.- Assist in preparing and coordinating legal or court-related documentation, and liaise with the company’s internal legal team when necessary.- Handle project insurance matters, including arranging policies, managing claims (C.A.R., TPL, Hull, P&I, WICA), and coordinating with insurers, lawyers, and surveyors.4. HR & General Affairs Support- Administer payroll for site workers and drivers, ensuring accuracy and compliance with company policies.Maintain staff records, training schedules, and welfare programs.- Support manpower reporting, attendance tracking, and site directory updates.- Coordinate internal and external visits, site ceremonies, and other event activities.
