Job Description
Our client is a Japanese multinational company providing ICT, digital transformation, and business solutions across the APAC region. They are currently looking for a Part-time Executive Secretary & Sales Planning Support (Japanese Speaking) to support senior management and the regional business operations.
【 Responsibilities 】
1) Executive Secretarial Support (Approximately 80%)
- Provide executive secretarial support to senior management
- Manage schedules, calendars, appointments, and meeting arrangements
- Prepare reports, presentations, and other business documents
- Coordinate business travel arrangements, including flights, accommodation, and transportation
- Organize internal and external meetings and corporate events
- Handle incoming emails, correspondence, and general communications
- Respond to internal and external enquiries professionally
- Coordinate communication and information flow between internal departments and external stakeholders
2) Sales Planning Support (Approximately 20%)
- Prepare sales meeting materials and consolidate sales reports
- Maintain and update customer and sales-related databases
- Monitor sales opportunities and prepare reports
- Update website content and sales materials
- Support the planning and execution of exhibitions, seminars, webinars, and marketing events
- Assist with email marketing campaigns and digital marketing activities

Requirement
【Requirements & Preferences】
(Must)
- At least 3 years of experience in an Executive Secretary, Executive Assistant, or similar administrative support role.
- Business-level proficiency in both Japanese (JLPT N1 or equivalent) and English, both written and spoken, to communicate effectively with Japanese-speaking stakeholders and overseas offices.
- Proficient in Microsoft 365 applications, including Outlook, Teams, Excel, and PowerPoint.
- Strong organisational and multitasking skills with the ability to manage multiple priorities effectively.
- High attention to detail and a strong awareness of information security and confidentiality requirements.
- Excellent communication and interpersonal skills.
- Self-motivated, proactive, and possesses strong problem-solving abilities.
(Advantageous)
- Experience supporting Japanese business practices and corporate culture.
- Experience using Customer Relationship Management (CRM) systems or marketing tools such as Salesforce (SFDC), Marketo, or Power BI.
- Experience supporting senior management within a regional or multinational environment.English Level
