Job Description
Our client is a leading utility-backed seaborne energy trader specialising in LNG, Coal and Freight with a platform to trade across all key markets (North America, Europe, Middle East, Africa and Asia).
This is a highly visible role supporting two C-suite executives in a fast-paced, international environment.
Beyond providing exceptional administrative support, the successful candidate will serve as a trusted partner who proactively anticipates business needs, manages priorities, and enables the executives to remain focused on strategic objectives.
【Responsibilities】
1. Executive Support
- Provide dedicated executive support to the CEO and CFRO.
- Manage highly complex calendars across multiple time zones while anticipating scheduling conflicts and changing priorities.
- Act as a trusted gatekeeper and liaison between executives, internal teams, shareholders, and external stakeholders.
- Coordinate meetings, prepare agendas, organise supporting documents, and ensure timely follow-up on action items.
- Assist with preparing executive presentations and reports by formatting, proofreading, and organising materials (content creation is not required).
2. Travel & Expense Management
- Coordinate domestic and international business travel arrangements, including flights, accommodation, transportation, visa applications, and itineraries.
- Manage travel bookings through the company's travel management system.
- Prepare and submit expense claims via SAP (training will be provided).
- Ensure travel and expense documentation complies with internal policies.
- Strategic Administrative Support
- Anticipate executive needs and proactively resolve issues before they arise.
- Conduct research and gather relevant information to support executive decision-making.
- Monitor key follow-ups and ensure executives remain well-prepared for meetings and business engagements.
- Support special projects and cross-functional initiatives as assigned.
- Maintain confidential documents and executive records with the highest level of discretion.
3. Stakeholder Management
- Build effective relationships with senior leaders across Singapore, Japan, the UK, Europe, and other global offices.
- Communicate professionally with internal and external stakeholders from diverse cultural backgrounds.
- Coordinate across departments to ensure smooth execution of executive priorities.

【Requirements & Preferences】
(Must)
- At least 8–10 years of Executive Assistant experience supporting multiple senior executives or C-suite leaders in MNC/global settings
- Business-level English and Japanese (JLPT N2 and above) communication skills are required to liaise with English-speaking stakeholders, such as UK & European stakeholders and Japanese stakeholders.
- A proactive mindset, excellent critical thinking and problem-solving abilities, with exceptional attention to detail and the ability to handle highly confidential information.
- The ability to anticipate needs rather than simply respond to requests.
- High proficiency in Microsoft Office, especially Outlook, PowerPoint, Excel, and Word, and ERP systems
- Exposure to board meetings, executive committees, or regional leadership teams.
(Advantageous)
- Experience with SAP and travel management systems is advantageous but not essential, as training will be provided.
- Experience conducting business research or supporting executive decision-making.English Level
