  • Job Description

    Our client is a Lighting Electrical Contractor specializing in various construction projects, including F&B outlets, retail spaces, commercial buildings, and more. They are currently looking for a Personal Assistant cum Sales Administrator (Japanese-speaking).

    【Responsibilities】
    - Manage CEO’s calendar, appointments, meetings, and travel arrangements
    - Provide high-level administrative, coordination, and project support to ensure the CEO’s effectiveness in strategic, operational, and client-facing responsibilities
    - Act as a bridge between the CEO, internal departments, and external stakeholders (suppliers, consultants, project partners, and clients)
    - Serve as the primary liaison with Japanese principals, business partners, ensuring smooth and accurate communication between them and the CEO
    - Translate meeting minutes, contracts, and commercial documents when required, ensuring accuracy and confidentiality
    - Organise and attend Board of Director (BOD meetings, prepare documents, take meeting notes, and write the minutes
    - Handle confidential documents and company data with discretion
    - Support the sales department with sales administrative tasks including preparing quotations, tenders, etc
    - Receive, verify and process orders through internal liaison
    - Prepare marketing presentation materials and samples
    - Maintain and update sales & customer records, distributor agreements, etc
    - Compile monthly sales reports
    - Direct feedback from customers to relevant departments
    - Stay up-to-date with new products and features
    - Plan and monitor various marketing activities to be executed by the Marketing Executive

Qualifications

  • Requirement

    【Requirements & Preferences】

    (Must)
    - Minimum Diploma in Marketing, Business, or equivalent.
    - At least 5 years of experience in a similar role.
    - Proficient in English and Japanese (JLPT N2) to perform translations, act as interpreter for the CEO, and communicate effectively with Japanese counterparts.
    - Highly proficient in Microsoft Word and Excel, particularly for document processing, sales reporting, and record keeping.
    - Excellent interpersonal, multitasking, and organizational skills.
    - Strong customer service and relationship management abilities.
