Job Description
Our client is a Japanese MNC manufacturing company focusing on home appliances. They are seeking a responsible and detail-oriented Admin Executive to support daily operations across Sales and Service functions. This role involves order processing, delivery coordination, inventory monitoring, and general administrative support.
The ideal candidate is organized, proactive, and able to manage multiple tasks efficiently in a structured, fast-paced environment.
【Responsibilities】
1. Order Processing
- Process and enter sales orders accurately and promptly into the system
- Verify pricing, product specifications, and customer information
- Prepare invoices, delivery orders, and related documentation
- Follow up on pending orders to ensure smooth and timely fulfilment
2. Delivery Coordination
- Coordinate delivery schedules with warehouse, dealers, contractors, and customers
- Ensure timely and accurate dispatch of goods
- Monitor delivery status and resolve delivery-related issues
- Prepare and submit required shipping documentation
3. Inventory Monitoring & Stock Management
- Monitor inventory levels and update stock records weekly
- Conduct stock reconciliation and support physical stock counts
- Liaise with warehouse team on stock movements and replenishment
- Investigate and report discrepancies to improve inventory control
4. Administrative Support (Sales, Service, Marketing, Finance & HR)
- Provide day-to-day administrative support to internal teams
- Maintain proper filing systems (both hardcopy and digital)
- Update and maintain customer database
- Handle customer enquiries related to orders and deliveries
- Ensure compliance with company policies and procedures
- Assist in ad-hoc administrative tasks assigned by management
Qualifications
Requirement
【Requirements & Preferences】
(Must)
- Diploma in Business Administration, Logistics, Supply Chain, or related field
- Minimum 1–3 years of relevant administrative experience within trading, distribution, logistics, or related industries
- Proficient in MS Office (MS Word, Excel, PPT)
- Good communication skills in English and Mandarin to liaise with English and Mandarin-speaking stakeholders

- Experience working in a Japanese companyEnglish Level
