  • Job Description

    Our Client is a Japanese MNC consumer electronic manufacturer company. The role of Sales Admin and Planning Executive is to be in charge of logistics management (Import/Export), order processing, sales support, and admin duties. You will also be expected to liaise with Japan HQ quite frequently.

    Reporting to: Manager
    Division: Precision

    【 What you will be doing 】
    - Liaise with forwarders for flight booking, packing & delivery
    - Process import/export documents
    - Liaise with Japan HQ for the Import/ Export quarterly report, LOA submission, and re-export report
    - Cost allocation for tax invoices from forwarders
    - Check for inventory entry (Daily)
    - Process internal DO
    - Parts and Tool arrangement for installation

    Parts control
    - Handle the order processing (including on weekends, when applicable)
    - Perform data entry for inventory movement
    - Monthly inventory reconciliation
    - Perform physical parts check (including repair and investigation, recycling, etc.)
    - Weekly Outstanding recycle parts list to the customer
    - Monthly Stock take performance

    Sales support
    - Prepare parts and service quotations to customers
    - Prepare Labor support PO for subsidiary
    - Parts / Tools shipping schedule advice to customers
    - Chasing outstanding purchase orders for replaced parts and completed service
    - Process sales Invoices
    - Monthly sales and cost data update and reconciliation with Accounting Dept.
    - Sales & Cost data closing (Twice a month)
    - Monthly sales data & outstanding parts report
    - Credit Note Report
    - Chasing outstanding Payment

    - Liaise with HQ support team for issue raise
    - Calendar and diary order processing
    - Cost allocation for expense invoices
    - Input expenses invoice to Tender Board system
    - Administration support to installation
    - Other ad-hoc duties as assigned

  • Requirement

    【 What they are looking for 】
    - Minimum Diploma in Business Studies
    - At least 2 years of relevant working experience with knowledge of import & export
    - Highly proficient in spoken and written English and Japanese language to liaise with Japanese-speaking (JLPT N1) counterparts on logistics, parts control, and sales support related.
    - Outstanding interpersonal and communication skills
    - Able to work independently and as an effective team player
    - Proficient in Microsoft Excel and Words
    - Well-organized, self-motivated, reliable, and resourceful
    - Willing to be on standby for ad-hoc emergency order processing from 0900 – 0930 on weekends (Duty Allowance will be provided!)
